GRDP Registration

Procedures for Submitting Your Application

Please make sure to read through all of the instructions before submitting your application.

  1. Complete the online registration form over here. You will receive an email which confirms your registration.
  2. Enroll in the GSA-GRDP-Fall 2009 VT Scholar webpage.
  3. Upload your application:
  4. Upload your documents supporting the application form in VT Scholar in Student Drop Box.
    Required Documents
    • Completed Application Form: The application form contains 4 parts.
      • Personal information and advisor's approval
      • The abstract should be no longer than 250 words in length excluding the title of your project. Please list all academic related activities including conference, workshop, any academic awards and publications.
      • Describe your project concisely as possible. Please keep your project description to a MAXIMUM of 2 pages. If necessary, additional supporting material that contains tables, graphs, charts, and/or at most 1 page of references (single space - font no smaller than 12 pt.) can be submitted as another file.
        Address the following items, keeping in mind the evaluation criteria listed on the general information sheet.
        1. Significance of the project
        2. Specific research problem
        3. Research methodology and/or procedures for gathering data
        4. A time schedule for the completion of the project
        Keep in mind your application will be reviewed by a graduate student committee and a faculty member within your department. You must present an application that can be comprehensible to anyone in any discipline.
      • Justify all of your requested budget items. Projects will be funded at a MAXIMUM amount of $600 for doctoral (terminal degree) and $400 for Master’s level. Regardless, remember that a GRDP grant is intended to be a source of research funds, not the sole source of research funds. If the total cost of your proposed research is more than $600 (or $400 for Maser’s)
        make sure to indicate other source(s) of funding.
    • Supporting Documents: Documents supporting the main application (except for the recommendation letter) will also need to be uploaded by the student.
      Note: All the documents uploaded must be in pdf file format only and mention your full name in the file name.

  5. Request that your advisor submit their recommendation letter through the GRDP Scholar Faculty Site
    • Go to https://scholar.vt.edu/portal
    • Log into VT Scholar using your “USER ID” and password
    • Under the “My Workspace” tab click “Membership”
    • Click “Joinable Sites”
    • Click “Join” for the “GSA-GRDP-Fall 2009”
    • This will create a new tab called “GSA-GRDP-Fall 2009”. Click this new tab to get started.
    • After you join the GSA-GRDP-Fall 2009, you may then upload your applications to the digital drop box.
    • Click on the “Drop Box”
    • In front of “your name” folder, there are two dropdown menus, “Add” and “Action”, click on the “Add” and select “Upload Files”
    • Use “Browse” to locate and upload the recommendation letter (please use .pdf, or .doc formats)
    • In the “Display name”, please enter your name and the students name with the following format: Faculty’s name-For-Student’s name.
      For instance if Dr. Smith is writing a recommendation for Mr. Robertson the display name should be: Smith-For-Robertson
    • Click on “Upload Files Now”
    • You are done, thank you for your submission.
  6. If necessary, you can review your application and make changes in the Drop Box until the submission deadline.
  7. Award recipients are notified at the end of each semester via campus e-mail.

Additional Application Guidelines

  1. Using VT Scholar, applicants can revise their application submission prior to the deadline, check the progress stage of the application and check the award value after being awarded.
  2. The applicant or other relevant sources may be contacted for clarification of the research
    application.
  3. No project employing human subjects will be funded without the approval of the appropriate
    Human Subjects Review Committee of the University.
  4. All equipment purchased shall be the property of the grant recipients department.
  5. The list below indicates items that will NOT be considered for funding:
    • Salaries for applicant or other personnel who perform routine student services or duties.
    • Office equipment not provided by the department or advisor.*
    • Supplies and materials provided by the department on a regular basis (paper, stencils,
      copying, etc.)*
    • Tuition, fees, or other personal costs
    • Retroactive reimbursement for expense incurred prior to the granting period for which
      this research project application is submitted.
    • Travel expenses for presenting the research at a professional meeting—please apply to
      the GSA Travel Fund Program instead.
      *Except in case of theoretical research and research/projects that require office supply/equipment
  6. Students cannot receive the GRDP funding for two consecutive funding cycles.
  7. Award money must be collected by Dec. 30 2010.
  8. Incomplete applications will not be considered for funding.
