TFP Registration

Application Eligibility Criteria

  1. The presented research must have been conducted at Virginia Tech, or one of its satellite campuses.
  2. Justification of funding need is required.
  3. A student can only receive a TFP award once per academic year.
  4. You have to be presenting a poster or a paper (including an oral presentation) at a conference. Travel Funds are NOT for attendee-only conference goers.
  5. Advisor approval must be obtained before applying.

Procedures for Submitting Your Application

Please make sure to read through all of the instructions before submitting your application.

  1. Complete the online registration form. You will receive an email which confirms your registration.
  2. Enroll in the TFP VT Scholar webpage.

  3. Download and complete the TFP Application Form
  4. Upload your documents supporting the application form in VT Scholar in Student Drop Box.

    Required Documents
    • Completed Application Form: Please make sure to fill out all required portions.
    • Letter of Recommendation from Advisor: Your advisor must write and submit a letter of recommendation indicating their support of your travel to the conference and how the presentation is relevant to your work. This must be done through the GSA TFP Fall 2009 Faculty Site on Scholar and cannot be submitted by the applicant. Your advisor will need to join this Scholar site.
    • Meeting Registration: Either confirmation of your registration payment or the registration materials from the conference explaining how to register (if you have not yet registered)
    • Presentation Confirmation: The letter of acceptance of your paper/poster. It can be in email form, a scanned paper form, or a link to the website/conference program that indicates your name and presentation.
    • Transportation Documents: The travel arrangements to get to your conference, either by plane, car, etc. If traveling by car you must provide a website estimate of the mileage to be considered. If you have not made arrangements yet, please provide cost estimates from a travel site (i.e. travelocity.com).
    • Lodging Documents: The arrangements for your stay during the conference. Please provide an explanation of why you may not need lodging documents (i.e. staying with a friend, not staying overnight) so that your application will not be considered incomplete.
    • Documentation of Abstract Review: If your abstract/paper went through a peer review process prior to acceptance, please provide proof of this. This can be done with a copy of reviewer comments or other official communication confirming the review.
    • Note: All the documents uploaded must be in pdf file format only and mention your full name in the file name.

  5. Request that your advisor submit their recommendation letter through the GSA TFP Fall 2009 Faculty Site
  6. If necessary, you can review your application and make changes in the Drop Box until the submission deadline.

Additional Application Guidelines

Instructions for Group Consideration:
  1. Students traveling together to the same conference should apply as a group to simplify the application review process. All students in the group should be presenting at the conference.
  2. On the registration and application forms, students should list the names of the other students in the group (all group members must list the others for the applications to be reviewed together).
  3. The budget should be combined to show the overall group expenses. The award limit will be equal to the sum of each person’s limit in the group (i.e. if 3 PhD students are in the group, the maximum possible award = 3 x $500 = $1500).
  4. Group members can submit the same documents for shared expenses, but must provide individual support for abstract acceptance and review.
Instructions for Application Materials:
  1. Please be consistent in the use of your name.
  2. Please clearly label attachments with a descriptive name.
  3. If any of your attachments are in foreign currency, please include something that shows US currency (for example, your credit card statement or a link to a website that you used to calculate US currency).
  4. Make sure to enter the correct nature of your attendance. A call for papers with subsequent acceptance is NOT an invited paper.
  5. When entering expenditures, use exact figures as indicated on your documentations.
